Student Absence Case Handling Procedure

Preamble:

Teaching and learning take precedence over all other activities at Sino-US College, thus students are expected to attend and participate in all scheduled classes in which they have enrolled.

 

Procedure:

A.    When a student is absent from class without notifying the instructor or teaching assistant (TA) in advance, the student must report back to the instructor/TA in the next class meeting to provide a valid reason for the absence. If not, it is marked as an unexcused absence. The student forfeits all attendance, participation, or other marks or points for the missed class in accordance with what is stated in the course syllabus.  

 

B.     When a student misses a class without prior notice or justifications for a second time,

1.      The class teaching assistant should call or message the student to investigate the difficulties that the student may be facing.

2.      If the student indicates problems in learning (e.g. English level, study skills, learning strategies, etc.), the TA should report this back to the instructor. The three parties should meet and arrange a plan for the student to get back on track (e.g. completion of remedial programs in ELC, extra tutorials).

3.      Should the TA suspect the student has more serious personal issues (e.g. difficulty in adjustment, time management, interpersonal relationship, psychological problems, etc.), the TA can refer the student to the Student Affairs Office for follow-up actions. The counsellor will provide a brief report to instructor and TA after meeting with the student.

 

C.     If a student is absent from class without valid reasons for the third time, the instructor should report this to the appropriate Program Director. The TA will assist to schedule a meeting with the Program Director, the course instructor and the student. The meeting serves as a channel for faculty to understand the student’s need and provide opportunity for feedback. If necessary, a verbal warning may be given by the Program Director and a written account sent to SAO.

 

D.    Upon the fourth absence, the student should be directly sent to the Associate Dean for Academic Affairs who will convene a meeting to include the Program Director, Directors of AAO and SAO, and the course instructor to discuss further actions. Both the parents and the student will receive written notification of the results of the case.
